From job posting to a filled order, in one place.
Most applicant tracking systems are built for companies hiring for themselves. Clumen is built for agencies that recruit seasonal, production and international workers for their clients: jobs, candidates, clients, interviews, offers and documents in one place.
One candidate list per job, not five versions of the same Excel file.
Candidates pick their own interview slot and confirm it in one click.
Every client order shows how many people are hired and how many are still missing.
The candidate’s path in eight steps
For each step: what your team does, what the candidate sees, and what Clumen does on its own.
- 01Job postingYour team
Opens a job, links it to a client and an order, chooses the application fields and stages.
CandidateSees the job on the agency’s careers page as soon as it is published.
Clumen, automaticallyRemoves the job from the careers page when it closes.
- 02ApplicationYour team
Adds candidates by hand or imports an existing database from CSV.
CandidateApplies from a phone, uploads a CV and gives consent, with no account needed.
Clumen, automaticallyRecords consent, flags possible duplicates and sends a confirmation.
- 03ScreeningYour team
Moves candidates through stages, rates them and writes notes; colleagues see the same.
Candidate—
Clumen, automaticallyFlags candidates who have stayed in one stage too long.
- 04InterviewYour team
Schedules a slot with an interviewer or sends a few open slots.
CandidatePicks a slot, adds it to their calendar, confirms or cancels in one click.
Clumen, automaticallyNotifies the interviewer and prevents two candidates from picking the same slot.
- 05ClientYour team
Sends candidates to the client and records the decision.
Candidate—
Clumen, automaticallyRecords every submission round and rejection reason; the client report exports to Excel.
- 06OfferYour team
Prepares an offer with terms and a reply deadline, then sends it.
CandidateOpens the offer on a phone, downloads the PDF, accepts or declines.
Clumen, automaticallyMoves the candidate to hired as soon as the offer is accepted.
- 07HiredYour team
Sees how many people are hired for each order.
Candidate—
Clumen, automaticallyFills the order (e.g. 7 / 10) and marks it as filled when complete.
- 08DocumentsYour team
Requests documents before the start date: ID, passport, diplomas, certificates.
CandidateUploads them through a link in the email, with no account.
Clumen, automaticallyShows what has arrived and what is still missing.
A candidate can leave the process at any step. Clumen then records who rejected them, the agency or the client, and why, and the candidate gets a notice if you choose.
Your clients are part of the process, not a side note.
The client, their order and their decision each have a place in the system. You always see who was sent to which client, what the client decided and how many people are still missing.
Each client has orders with the number of workers needed and visible progress.
Records when each candidate was sent to the client, and a new round if the client sends them back.
“Rejected by client” is tracked separately from agency rejections, with a reason.
Submitted, accepted and rejected candidates for each client, exported to Excel.
Candidate data is personal data. Clumen treats it that way.
Database and files on servers in the European Union.
Data is separated at the database level, not just in the interface.
You decide who can move candidates, send messages, export and delete.
You set the retention period; Clumen anonymises candidates when it ends.
Export and erase a candidate’s data on request, with a record of consent and of who opened each profile.
Candidate data serves only your recruitment. It is never used for other purposes or to train AI models.
We are looking for our first partner agencies.
We set up the system with you, import your existing candidates and adapt the stages to how you work. Your experience directly shapes the next versions.
